Learn how to limit staff member access to perform certain functions in Scout.

By default, every staff member you add to your account has no administrative functionality and can only login to the mobile app to view their schedule and complete appointments.

If you have a business partner, manager or someone else that needs to perform administrative functions, you can grant them different levels of access based on their needs.

Access Levels

Scout has four different access levels for staff members:

  • No admin access - this is the default for all new staff accounts and has no administrative functionality and can only login to the mobile app to view their schedule and complete appointments.
    ​

  • Administrator - access to all administrative functions without limitation except for accessing information related to your Scout subscription. This is a great option if you have a business partner or a trusted staff member that you'd like to control every option in Scout without limitation.

  • Manager - managers have access to all administrative functions with the exception of settings and financial reports. If you've already setup your business to your liking and need someone to run the day-to-day, this one's for you.
    ​

  • Scheduler - schedulers have full access to the schedule and limited access to staff, customers, and leads.

Setting Permissions for a Staff Member

  1. Go to Staff

  2. Select a staff member

  3. Choose Permissions from the left navigation menu*

  4. Select the permissions level you'd like to assign to this staff member**

* The permissions option is only available for business owners and staff with the Administrator access level.

** Administrator access can only be assigned by a business owner.

Detailed Permission Levels

Below you'll find a detailed list of what the various permissions levels can and cannot do.

Owner

  • Grant administrator functionality to another staff member.

  • Remove administrator functionality from another staff member.

  • Deactivate

  • Access Scout billing and subscription information.

  • Access MOST administrative functions.

  • Access business settings.

  • Access financial reports.

  • Deactivate administrator or manager accounts.

  • Change permissions for staff members.

  • Access Scout billing and subscription information.

Schedulers

Can...

  • Full access to the schedule

  • Limited access to customers

  • Limited access to staff

  • Full access to leads

Cannot...

  • Access business settings.

  • Access messages.

  • Access reports.

  • Access main File Vault (can access customer files).

  • Change permissions for staff.

  • View or change rates for staff.

  • Access File Vault for staff.

  • Add or remove account or prepaid credit for customers.

  • Add or remove custom rates for customers.

  • Access Scout billing and subscription information.
