Overview
Surcharges are additional fees you charge on top of a service, such as a fuel surcharge or travel fee. With Auto-apply to every appointment, Scout automatically adds the selected surcharge whenever a new appointment is created.
Where to find it:
Settings → Surcharges → Custom → Auto-apply to every appointment
When enabled, this surcharge is automatically added to every new appointment and appears as a separate line item on the customer's invoice.
How to Enable
Go to Settings → Surcharges.
Create a new surcharge or edit an existing one.
Turn on Auto-apply to every appointment.
Save your changes.
Once saved, every new appointment you create will automatically include that surcharge.
How It Works
Applies to new appointments only – Once enabled, every new appointment automatically includes the surcharge.
Appears as a separate line item – The surcharge is displayed separately on the customer's invoice, making it easy to distinguish from the service charge.
Can be disabled at any time – Turning the toggle off prevents the surcharge from being added to future appointments.
Example
Suppose you offer a Dog Walk for $40 and have a Fuel Surcharge of $5 set to auto-apply.
The customer's invoice would look like this:
Line Item | Amount |
Dog Walk | $40 |
Fuel Surcharge | $5 |
Total | $45 |
The customer will see both the service and the surcharge clearly listed on the invoice.
Frequently Asked Questions
Can I turn it off later?
Yes. Go to Settings → Surcharges, edit the surcharge, turn off Auto-apply to every appointment, and save your changes. Future appointments will no longer include the surcharge automatically.
Will customers see the surcharge on their invoice?
Yes. The surcharge appears as a separate line item on the invoice, showing both its name and amount alongside the service.
Summary
Auto-apply to every appointment helps save time and ensures surcharges are applied consistently. Enable it once under Settings → Surcharges, and Scout will automatically add the surcharge to every new appointment while displaying it clearly on the customer's invoice.
